Agreement for use of Counselling Room at Unit12

This agreement is between you and counselling@unit12 for the provision of a Counselling Room at Unit 12, Winnall Valley Road, Winchester, SO23 0LD.

Please note, this is not a formal rental agreement and as such you do not have the rental rights or liabilities associated with such an agreement. counselling@unit12 remains liable for the rental agreement with Unit 12. By signing this agreement, you agree to support counselling@unit12 in meeting their responsibilities of the rental agreement.

Session arrangements

Once this agreement has been signed, you will be added as a user on the room management system that counselling@unit12 uses; Therapeuta. You will then be sent an invitation to access the system, enabling you sign in and create bookings.

When you create the booking, please do not include any of your client details, as this could compromise your client’s confidentiality.

Therapeuta allows you to book single or recurring sessions. Upon creating the booking, you will be sent an email confirmation. Should you need to amend the booking following its creation, you will be able to do so within Therapeuta up until 24 hours before the booked session.

Room usage fees

The costs for sole use of one of the counselling@unit12 rooms are outlined below. You will be invoiced on a monthly basis for the number of days and/or hours that you booked the room for.

These costs include all services such as electricity, heating and internet connection and will be reviewed on a regular basis, at least annually. You will be given at least 1 months’ notice of any changes to the costs of the room usage.

Please note that any booking made for over 1 hour that does not fall into either a 1/2 or full day block will be charged for each started quarter hour at the rate of £2.25 per 15-minutes. For example, a 1.5-hour booking will be charged at £9.00 + £4.50.

Any single hour bookings extended beyond 4 hours will have the same discount applied to them as if you booked the ½-Day block.

Upkeep, Maintenance and Health & Safety

counselling@unit12 is responsible for the general upkeep and maintenance of the rooms. This includes ensuring the lighting, décor and furniture is in good working order and in a usable condition. Please report any defects to counselling@unit12 as soon as possible upon discovery.

You agree to ensure that the room is left in a clean and orderly manner following your use of the counselling space. This includes the removal of any waste from the room(s) at the end of any session(s). Waste can be disposed of using Unit 12’s general waste and recycling areas.

Any spillages, stains or damage caused within the room during your usage must be reported to counselling@unit12 as soon as possible. Should a cost be incurred for the cleaning or removal of any spillages and stains, or the repair of any damage, these costs will be added to your next invoice.

You agree to be responsible for adhering to Unit 12’s Health and Safety guidelines whilst using the room. Details of fire evacuation procedures, first aid provision and other Health and Safety requirement are made available in each of the rooms.

Cancellation

Cancellation of the room booking must be made at least 24 hours in advance. Any bookings cancelled or changed after that time period will be charged at the standard room rate.

To cancel a booking, sign in to the room management system and find the relevant booking. You will see a “Cancel” button against your list of bookings. Simply click on that button to cancel the booking.

Listing on the counselling@unit12 website

Should you wish to have your details listed on the counselling@unit12 website, please contact administrator@cau12.com for details regarding the information that would be needed to create the relevant web pages.

Signing the agreement

As part of signing up to use our rooms, we ask you to provide details of your professional accreditation, so that we can be sure that all our therapists are working to high standards of practice within their field.

After signing, our administrator will send you a copy of the Room Usage Handbook, which contains the practical details you will need for accessing and using our rooms.
