This privacy notice explains how you can expect Ed Magee to use your personal data when you enter into a counselling/supervision relationship with him.

Your privacy is very important to me and you can be confident that your personal information will be kept safe and secure and will only be used for the purpose it was given to me. I am happy to chat through any questions you might have about my data protection policy and you can contact me by emailing administrator@cau12.com.
I adhere to the current UK data protection legislation, including the Data Protection Act 2018, General Data Protection Regulation (EU/2016/679 - GDPR) and Privacy and Electronic Communications (EC Directive) Regulations 2003 (PECR).
I am registered with the information Commissioners Office (ICO) under the number: ZA835595.
What personal data does counselling@unit12 collect?
When you begin your counselling journey with me, I will collect additional personal data as part of my registration process to facilitate our working together. This information includes:
Your name, address, email and phone number
Where relevant, the name and age of a child or young person you are applying on behalf of
The name, contact details, and relationship to you of an emergency contact
The name, address and contact number of your GP surgery
Details relating to any medically diagnosed conditions relevant to the counselling work
The reason that you are seeking counselling and details of any past counselling
Details relating to your current emotional state
Details regarding your sexual orientation, preferred gender pronoun *
Details regarding your nationality *
Ages of and relationship to significant others, e.g. parents, siblings, children, partner *
* some of the above personal data is collected on an optional basis, as it is not essential to carry out the counselling work, but can be helpful within it.
During the counselling work, I will also keep a record of your session in the form of brief notes as is standard professional practice. These are available to you to view at any time upon request and are anonymised as much as practically possible to protect your privacy. I also keep a record of our appointment dates & times as well as a record of your payments.

How counselling@unit12 stores your personal data
Your personal data is stored as follows:
Paper records, such as session notes will be stored in secured filing cabinets contained in areas with access restrictions.
Electronic records are stored in a number of different systems, for example an electronic database, email service, our accounting software, etc. All electronic records are protected by passwords to keep data secure and devices used have security measures in place to protect them. If you require further information on our electronic systems, please email administrator@cau12.com.
In the unlikely event of your data being compromised, we would follow the ICO’s guidance, contact you to tell you what has happened, and may report the episode to the ICO.
Who counselling@unit12 shares your personal data with and why
Confidentiality is of great importance to our working relationship. As such, I do my best to ensure that your personal data is kept safe and secure.
I do not share your data with any third parties for marketing purposes.
I may share your data with other healthcare professionals who are involved in your care but will make sure you are aware of this.
I am required to have regular, formal supervision of my work by another qualified professional. As part of this, it may be necessary to discuss your data with my supervisor. My supervisor also works under the terms of confidentiality.
If an emergency arises in our sessions, or if a safeguarding issue is raised, I may need to contact the emergency services for your safety and wellbeing. I will endeavour to seek your consent first.

How long counselling@unit12 retains your personal data
I only hold your data for as long as is necessary. Contact details are usually held for no more than 12 months after the end of your counselling relationship with me. Where records are held for longer, this is to comply with statutory requirements for financial records, or safeguarding matters.
Your rights relating to your personal data
Your personal data belongs to you. As a client of counselling@unit12 you entrust your personal data to me, so that I can provide you with the therapeutic help that you are seeking, but you retain certain rights over your data and how it is used.
Below are a list of your rights and how you can exercise them:
To be informed - your right to know how and why your data is being collected and used by counselling@unit12. We hope that this Privacy Notice provides you with that information, however, should anything be unclear, please do not hesitate to contact us.
Access – your right to see any information we hold on you.
Rectification - your right to ask us to correct any of your data that we hold that is wrong.
Erasure - your right to ask counselling@unit12 to delete the personal data we hold on you (limited by that needed to fulfil our side of any working agreement we have with you, and instances where we must comply with statutory or regulatory requirements).
To restrict processing - your right to restrict how we use the personal data that you have provided us with. There again are some limits to this right e.g. for us to meet statutory requirements.
Portability - your right to request that we make your personal data, held electronically, available in a format that easily accessible and machine-readable.
Object - your right to ask us to stop using your data at any time. There again are some limits to this right e.g. for us to meet statutory requirements.
Automated decision making & profiling - at counselling@unit12, we do not profile you or make any automated decisions regarding you in any way. As such, this right does not apply to the services we provide.

How to contact the authority if you have concerns

If you do not feel that I am providing you with a satisfactory response, you are also entitled to lodge a complaint with the Information Commissioner’s Office (ICO), which is the UK’s independent authority set up to uphold information rights in the public interest, promoting openness by public bodies and data privacy for individuals.
